The Office Manager/Assistant to the Commissioner is an integral staff member as this position assures the fluid and efficient functioning of the conference office, serves as an initial contact for the membership and public, and provides daily administrative assistance to senior staff members.
This is a non-exempt, benefits-based position. Individual will work 40 hours/week; 8:30 a.m. - 5:00 p.m. Limited evening and/or weekend assistance may be required.
General responsibilities include, but are not limited to the following:
RESPONSIBILITIES:
Receptionist Duties
Arrive daily by 8:30 AM and departs no earlier than 5:00 PM to open and close office.
Primary staff member responsible for answering main phone line and all associated phone duties.
Responsible for assuring phone coverage during lunch breaks as well as other coverage as necessary.
Greet guests.
Sign for deliveries, distribute mail and assist staff with shipping needs. Office Management
Maintain common areas, conference room, kitchen, storage and general office appearance.
Maintain and distribute monthly office calendar (i.e.: staff out of office dates, meetings, events, etc).
Coordinate scheduling of conference room.
Maintain office equipment; including, copiers, postage machine and phones.
Responsible for ordering all office supplies. Maintain appropriate level of office supplies and assures fiscal responsibility in this area. Event Coordination
Research possible locations and secure bids for annual Executive Committee meetings.
Schedule all logistics (lodging, meals, room set up, etc.) for annual Executive Committee meetings.
Assist as liaison to Anthony Travel as it relates to transportation to/from conference meetings.
Assist conference staff with coordination of coaches meetings and various committee meetings. Responsibilities will include; meeting confirmation, airport pick ups/drop offs, and lunch arrangements.
Coordinate signature events associated with the Men's & Women's Basketball Championships (as assigned).
Responsible for all logistics of events sponsored by the Commissioner. Administrative Assistance
Provide administrative assistance to the Commissioner.
Provide administrative assistance, as time allows, to Associate Commissioner for External Relations and Associate Commissioner/SWA. QUALIFICATIONS
A minimum of five years experience as an administrative assistant or office manager.
Proficient in Excel, Microsoft Office, and Internet usage.
Outstanding organizational and communication skills.
Bachelor's Degree and event coordination experience is preferred.
